What working with a household records coordinator actually changes
The practical difference between records that have been walked through and records that have simply accumulated is not a minor one. This page sets out what that difference looks like and why Domestica approaches the work the way it does.
← Back to HomeThe core advantages
Every document is findable
After a programme, any member of the household — or a professional you bring in — can locate any document category within minutes. The index is written for people who were not there when it was made.
Flat fee, no surprises
Every engagement is priced as a single fixed amount before any session begins. There are no add-on charges for additional folders, extra label sets, or follow-up email queries between sessions.
A shorter, sharper professional meeting
Solicitors and accountants bill by time. Arriving with a labelled, indexed set of records and a written list of specific open questions makes those meetings materially shorter and more productive.
Your data stays with you
Digital copies go onto your own storage. The coordinator removes them from their device before leaving. No client records are retained by Domestica after the session closes.
Knowledge shared across the household
The Full Plan Archive Programme includes three walkthrough sessions with different household members. Nobody ends up as the sole person who knows where things are.
A system that holds over time
The folder conventions and index structure are designed to absorb new documents as they arrive. Full Plan Archive clients receive a review calendar to keep the system current year on year.
Expertise in home document structure
The coordinators at Domestica work specifically with household records, not office or business records. That distinction matters. The categories that accumulate in a home — identity documents, land papers, insurance, school certificates, bank correspondence, utility agreements — have their own relationships, their own renewal cycles, and their own relevance to different life events. Understanding those relationships is the foundation of the work.
- Trained specifically in household record categories common in Malaysia
- Experience across Bahasa Malaysia, English and Chinese-language documents
- Understanding of multi-generational household paper accumulation
Practical digital indexing
The digital index produced in the Guided Home Programme and the Full Plan Archive is not a scanning service or a cloud storage solution. It is a structured, human-readable index built to a consistent naming convention on the storage you already own. The aim is that any member of the household can navigate it without a guide.
- Naming conventions explained and documented for future use
- Built on storage you own — not a third-party service
- Physical and digital sets labelled to the same convention
A working relationship, not a one-time service
For the programme options, email access between sessions means you can raise administrative questions as they occur to you without waiting for the next visit. The coordinator keeps a running note of these for the following session. This is not counselling or professional advice — it is the practical back-and-forth of a coordinated administrative project.
An outcome you can see and hand over
Every engagement ends with physical deliverables: a written inventory, a labelled folder set, an orientation document. These are written to be legible to someone who was not part of the process. For households managing long-established family homes, this is often the first time a complete picture of the paperwork has existed in one place.

Distinctive features of the Domestica approach
Stopping is as valid as finishing
The One-Room Walkthrough is designed to be a complete, useful engagement on its own. Households that stop there — taking the folder plan and inventory and applying them independently to the rest of the home — are considered to have had a successful engagement. There is no commercial pressure to continue.
The orientation document for a stranger
The written orientation documents produced in the programme options are drafted with one particular reader in mind: someone who arrives at the home with no prior knowledge of the records, needing to find a specific document under time pressure. Wills, medical decisions, property transactions — the moments when records are needed most are rarely calm ones.
A register built for professionals, not for us
The open-questions register is not an internal Domestica document. It is written to be handed directly to a solicitor or accountant. The format is a clean, numbered list with enough context for a professional to understand the question without further explanation.
Local knowledge, Malaysian household context
Our coordinators understand the document categories that arise from Malaysian administrative life — MyKad and related identification documents, PTPTN records, land and strata titles, EPF and SOCSO correspondence, Tabung Haji statements, and the administrative structures of Malaysian schools and institutions.
